Estate Intake
Privacy policy
Last updated October 21, 2026
Estate Intake is a questionnaire that law firms send to their clients. This policy explains what information the service holds, who can see it, and what we do with it. "We" means Connor Pierce, doing business as Kellvane. "Firm" means the law firm that uses Estate Intake. "Client" means a person a firm invites to fill in a questionnaire.
If you're a client filling in a questionnaire
Your answers belong to your law firm. We store them so the firm can see them, and for no other purpose. Questions about your information, and requests to see, correct or delete it, go to your firm. We'll help the firm handle any request. If you contact us directly, we'll pass your request to your firm.
What we hold
- Questionnaire answers that clients enter: names, dates of birth, contact details, family members, the people they choose for roles in their plan, a description of assets and debts with estimated values, and their wishes.
- Firm account details: firm name, phone, city, logo, and the names and email addresses of staff.
- Payment records: handled by Stripe. We receive the buyer's name, email and firm name. We never see or store card or bank numbers.
- Basic technical records: when someone signed in or saved, and server error logs. Logs don't contain questionnaire answers.
The questionnaire asks clients not to enter full account numbers or Social Security numbers. If one is typed anyway, the service keeps only the last four digits.
How it's used
Only to run the service: showing answers to the firm, sending the firm's sign-in links, questionnaire links and reminder emails, and providing support when a firm asks for help. We don't sell information, don't use it for advertising, don't share it with data brokers, and don't use questionnaire answers to train AI models.
Who can see questionnaire answers
The client who has the private link, and the staff the firm has given a login. We don't look at a firm's answers unless the firm asks us to for support, or the law requires it. A firm can never see another firm's information.
Companies that help run the service
We use a small number of service providers, each only for its job:
- Render, for hosting the application and its database (United States).
- Postmark, for sending email. It sees email addresses and message text, which never include questionnaire answers.
- Stripe, for payments.
We'll update this list before adding a new provider that handles client information.
How it's protected
- Questionnaire answers are encrypted in the database (AES-256).
- All connections use HTTPS.
- Staff sign in with single-use email links, and every request is checked against the firm the person belongs to.
- Client links are long random codes that work only for one questionnaire, and stop working when the firm archives it.
- Pages with client information aren't cached by browsers or search engines.
No system is perfectly secure. If we learn that someone got into a firm's information without permission, we'll tell that firm within 72 hours of confirming it, with what we know, so the firm can meet its own obligations to its clients.
How long it's kept
Answers stay until the firm deletes the intake or closes its account. Deleted information is removed right away from the live database and from backups as they expire, within 30 days. When an account is closed, everything for that firm is deleted the same way.
Children
The service is for adults. Parents may list their children's names and birth dates as part of their own plan. We don't knowingly collect information directly from anyone under 18.
Changes
If we change this policy in a way that affects how client information is handled, we'll email firm owners at least 30 days before the change takes effect.
